Running the WIP Report
Once you run the ‘WIP Report - Detailed’, it is necessary to set up the correct filters
and grouping to review the specific details in the format you require.
Available Filters
- Actuals up to and including - This is a ‘select month’ dropdown. This will
determine the cut-off month for the ‘Actual’ figures. - Status - This is the status of the project. Defaults to ‘Ongoing’ but can select a
specific project status if required. - Branch - Defaults to ‘All’ but can select a specific branch
- Director - Defaults to ‘All’ but can select a specific Director if required.
- Manager - Defaults to ‘All’ but can select a specific Manager if required.
- Discipline - Defaults to ‘All’ but can select a specific Discipline if required.
- Report Currency - Defaults to systems default currency but can select an alternative currency if required.
- W/S Probability - Defaults to ‘All’ but can select from the following:
- Confirmed only
- Low and above
- Medium and above
- High and above
- W/S Status - Defaults to ‘All’ but can select from the following:
- Open
- Closed
- By Duration
- Fee Type - This splits the fee by ‘Base’ and Additional’.
Defaults to ‘All’ but can split fees by base or additional - Inc. Rechargeable Expenses - Yes/No option.
The report will default to ‘include rechargeable expenses = No’.
This will affect all columns which can ‘include’ or ‘exclude’ Rechargeable
expenses.
Non-Rechargeable expenses are included in calculations. - Forecast Mode - Choose between:
- Using Estimated % Complete – This will affect the forecast costs column and all calculations using this figure.
- Using Budget Forecast – This will affect the forecast costs column and all calculations using this figure.
- Toggle Grouping Console - to review the following categories that you can group by:
- Branch
- Client
- Director
- Parent project
- Sector
- Project Status
The report can be split across the following areas:
Project Details
- Listing of the standard project details to allow you filter and group as follows:
- Clients (group)
- Project Currency (auto)
- Report Currency (select one)
- Project Status (filter, group)
- Director (Filter, group)
- Manager (filter)
- Branch (Filter, group)
- Sector (group)
- Discipline (Filter)
Budget Plan
- This section highlights the original budget entries completed at the beginning of the project. These figures can be seen on the Workstage Tab.
Total Fee | This is the amount entered on the Workstage Tab |
Sub Con Budget Costs | This is the amount entered on the Subconsultant Plan. This will change if you select the Inc. rechargeable expenses filter. |
Total Budget Costs | The budget costs are calculated by adding the totals on the Labour Plan, Subconsultant Plan and Expenses Plan |
Budget P&L | Calculation (Total Fee Less Total Budget Cost) |

Actuals
- This section shows all the actual invoiced to date less the actual costs.
- The Actuals are up to and including the month which has been selected in the filter at the top of the report.
- These figures can be seen on the Performance Summaries Tab.

- The report defaults to ‘include rechargeable expenses = No’.
- The filter should be changed if you would like to see recoverable expenses included in the calculations.
Anticipated Final Position
- This section forecasts the anticipated profit of the project.

Forecast Mode
This Anticipated Final Cost column is calculated using the Forecast mode selected.
The Forecast Mode can be explained as follows:
- Budget Costs: The final cost is calculated based on the all actual costs to date, plus remaining forecast in the Labour Plan, Subconsultant Plan and Expenses Plan.
- Estimated % Complete: The final cost is calculated based on the estimated % complete as follows:

- If the project cost £21,094 to reach 65% complete, based on the work being carried out in a consistent approach, it will take £32,452 to reach 100% complete.

- For a project with multiple Workstage, a weighted average estimated % complete is calculated for the project as a whole as follows:
